Thank you for the scope of works. It sets out clearly what Fit Futures needs, and it made pricing straightforward. This proposal covers all four projects, with a fixed build price and a monthly price for each, as you asked. Every price is in NZD and excludes GST.
The goal: take the repetitive work off your team, so their time goes to students, sales and the work only people can do.

Project 1
Payment follow-up automation
When Direct Debit Success reports a bounced payment, the system finds the student, works out whether it is their 1st, 2nd, 3rd, 4th, 5th or later bounce, and fires the matching step in your existing collection process. Your team is notified at each step. Your wording and your process stay exactly as they are. We automate when each step happens, not what it says.

Assumption. Direct Debit Success gives us its bounce reports either through a live connection or as a regular report. We confirm which in the first week after access, before any build work is invoiced.

Project 3
Tutor question assistant
Answers the routine questions students ask again and again, inside your learning platform, Cloud Assess, using your own course material. Anything complex or personal goes straight to a tutor.

A possible saving. Cloud Assess includes some AI tools of its own. If your plan already covers part of this, we set up and connect what you have instead, for $699 build and $59 a month. We check this in the first week after access and tell you which applies before any work is invoiced.
What you get
Tutors spend their time on the students who need them. Your target is to take around 80% of the routine question load off them. We build towards that target and measure it with you after launch.

Project 4
Website upgrade
A full redesign of the Fit Futures Academy website: new design, clear structure, fast on phones, built to turn visitors into enquiries and enrolments. We review your current site and content first and recommend the right structure.

- On approval
Access to the systems in your scope, as set out in section 4.
- By 31 October
The new website and daily social content live, provided access arrives within 3 business days of approval.
- 2 to 3 weeks after access
Payment follow-up automation and tutor question assistant live. If access comes through quickly, we aim for 31 October on these too.
Terms
- Builds50% on approval, 50% at go-live, invoiced per project.
- Monthly feesStart when each project goes live. Cancel any time with 30 days' notice.
- OwnershipThe website and systems belong to Fit Futures once the build is paid, and monthly plans carry on with the business.

Daily social content
A post created and published every day on Instagram and Facebook, with captions and images in your brand, built from your Canva brand assets.
